Gross takings are only the top line
Platform summaries are designed to show activity. They are useful, but they are not a profit statement. If you earned £300 and spent £70 producing it, the business result is not £300. It is £230 before fixed costs and tax.
Tracking net earnings does not need a complicated spreadsheet. It needs a consistent definition and a habit short enough to repeat at the end of a tiring shift.
Separate three kinds of money
First, record gross takings from all sources. Second, record variable costs that belong to that day, such as fuel, charging, tolls, parking, washing, and platform commission when it is not already deducted. Third, allocate fixed costs such as insurance, finance, licensing, phone, and accounting across the weeks they support.
- Gross: every fare, tip, waiting charge, and direct booking payment.
- Variable costs: money spent because you worked that day.
- Fixed costs: regular business costs that exist whether the car moves or not.
- Net before tax: gross minus variable costs minus the allocated fixed-cost share.
Keep tax separate from performance
A tax reserve is money you expect to owe, but it is not the same as an operating cost. Keep it in a separate line or account. That way you can compare how the driving business performs while still protecting the cash that is not yours to spend.
The appropriate reserve depends on your circumstances and location. Use your own records and professional advice when you need tax guidance. The management habit is simply to reserve deliberately rather than hope the year-end number works out.
